# One platform to run a construction company, from site to payroll
> A Portuguese construction company ran its operation on spreadsheets, email and month-end reconciliation, with several hundred workers across dozens of sites. With Twistag, it built its own platform for running the business end to end. Every day's work is recorded once, approved by the client on the same platform, and turns into invoices and salaries without being typed in again. More than 250 workers are recorded on it every month.

Client: Portuguese construction company · Industry: Software & platforms · Practices: AI & Agents, Product Engineering · Timeline: Ongoing since 2025
## Key results
- **250+** workers recorded on site every month
- **50,000+** daily work records approved since launch
- **445** client invoices issued across 93 projects
- **Days** to close the month, not a couple of weeks
## The challenge

**Every number typed three times.**

Twistag built a Portuguese construction company its own operations platform, the one the company now runs on, from the hours worked on site to client invoices, payroll and the ERP. More than 250 workers are recorded on it every month, across more than 75 active projects, and the company's clients approve each day's work on the same platform.

Before the platform, a site's day passed through several hands. Team leads recorded production in their own spreadsheets. The office reconciled those files at month end, built client invoices from them, and keyed the same hours into payroll and the ERP. Clients only saw the numbers once the invoice arrived, so the arguments came after it had been issued. Worker documents, contracts, vehicles and housing were tracked in separate files. The work was known and repeated every month. What it cost was weeks of reconciliation and invoices the client could still dispute.

## The approach

**Record it once. Use it everywhere.**

1. **Record the day on site.** Team leads record each worker's day against a project and a specialty, from a phone or a site tablet. The record carries the specialty and the rate that applied on that date, so a later rate change never rewrites past work.
2. **Let the client approve the work.** The company's clients sign in to the same platform and see only their own projects. Client validators approve the day's production as it happens. An approved day is locked, and that is what invoicing, payroll and reporting read.
3. **Turn approved work into invoices and salaries.** Invoices are suggested from approved work and the project's agreed rates, and any manual change needs a written reason. The same record drives payroll: per-diem, salary maps and SEPA payment files for the bank, with the month closed from data that was already approved.
4. **Connect the rest of the operation.** Workers, contracts, documents with expiry alerts, vehicles, housing and recruitment sit on the same platform. Contracts are generated from templates and signed electronically. Workers and payroll sync with the company's Primavera ERP, and AI reads uploaded documents into structured fields for a person to confirm.

## The impact

**The month closes itself.**

More than 250 workers are recorded on the platform every month, and more than 50,000 daily work records have been approved since it went live. 445 client invoices across 93 projects have been issued from that approved work. The month-end close used to take a couple of weeks of reconciliation; it now runs from records already approved during the month and is done in a few days. Because clients approve production as it happens, a disagreement is settled on the day it happens, not after the invoice. Budgeted hours are checked daily against actual and expected hours, so a project that is drifting shows up while there is still time to act. For the company, the platform has become a product in its own right: the operating system it built for itself.

> Record a day's work once, and invoicing, payroll and the ERP never need to ask for it again.
